From Gatekeeper to Culture Keeper: The Evolving Role of the Administrative Assistant

Administrative Assistants don’t just protect the schedule, we shape the experience.

Admins have long been the logistical backbone of an organization. Coordinating schedules, sorting inboxes, tracking expenses, those are still part of the role. But more and more, admins are stepping into something deeper: becoming culture champions, internal connectors, and key players in shaping how a company feels, not just how it functions.

At EfficientAide, we have a unique place in the world as our mission is to help actualize the visions of business leaders at the highest level through our support. I love that we get the opportunity to work behind the scenes of someone else’s dreams! And as executive assistants, we’re often speaking on their behalf. That takes more than a technical skill set. It requires emotional intelligence, a deep understanding of identity and communication preferences, and the ability to reflect someone’s brand in every interaction. An ill-equipped assistant may simply react to the delegated prompting, while a more refined and seasoned admin would have an understanding of the context and respond with the client’s overarching goal in mind.

Oftentimes Admins are the first long-form communicator that a new hire interacts with. Without realizing it, we’re shaping how culture is experienced from day one and set the tone of what a new employee, contractor, or vendor can expect communication-wise from the organization – a weighty power we need to wield responsibly! As a business leader, I’m sure that we would hope the person in that role has the “soft skills” necessary to create alignment, not just with tasks, but with tone, values, and treating people well. But, if we aren’t careful, our intended culture can slip between compounded email responses on our behalf.

I can think of several EAs who are helping leaders navigate not just how to win in their industry, but how to win at home too, a true impact beyond the task at hand. After hearing an off-hand comment from a client wanting to be more present for their child’s school events, one of our teammates researched the school calendar and now places reminders on their client’s calendar. Another teammate has a background in dance and has shared insights with their client who has no experience with dance, but was looking for ways to relate more specifically to their child who loves dance. This is what happens when there is a blend of logistical support, strategic awareness, and human connection.

While it’s important to uphold the known standard of how an EA supports a client, it’s far more worthwhile to set the bar higher and expect the EA to be both a culture, and calendar advocate. Challenges and nuances are sure to be included with this step-up, but a high-quality individual will be grateful for the opportunity to exceed those expectations.
