🧩 Work Blocks & Prioritization

Time is valuable and utilizing work blocks is the best way for me to protect my time. At the start of my work week, I like to look at my calendar and carve out dedicated blocks to focus on specific tasks, especially the most important or urgent ones. This keeps my day structured and prevents that overwhelmed, everything-is-on-fire feeling.

🗓 Weekly Workflow Reviews

I like to use Sunday or Monday mornings to plan the week ahead to not only avoid last-minute surprises, but to make sure I have a good picture of what my week looks like. I like to have a good visual of when my meetings are scheduled, what work blocks are carved out, review any upcoming deadlines, and mapping out priorities for the days ahead. Oh, and also making sure I have coffee breaks in between my day. (This is key for me – I love my coffee!) This habit helps me be proactive instead of reactive—and trust me, it makes a huge difference.

3. Habits That Prevent Burnout

Sustainable success comes from building consistent habits. Burnout is REAL, especially when you’re juggling multiple moving parts all day long. Here are a few habits that help me keep my cool, and hopefully can help you too:

  • Stick to consistent routines like weekly planning and end-of-day reviews.
  • Keep your systems simple. If your setup feels like more work than your actual tasks, it’s time to simplify.
  • Schedule your breaks! Grab a new, fresh cup of coffee, take a walk outside, or get some desk stretches in. This is key to prevent that burnout feeling.
  • Let your tools serve you – don’t let them overwhelm you. The best tools are the ones that make your job easier.

Customizing Systems for Your Executive

No two executives are the same, so I always tailor my systems to match the person I support. Some want every detail, others prefer just the highlights. Whether it’s the format of updates or the timing of reminders, flexibility is key. By adapting your approach and using the right systems, you can support your executive more effectively while keeping your own workload sustainable.

At the end of the day, great systems don’t make you robotic—they make you resilient. Find what works, stay consistent, and never stop fine-tuning. Because when your systems are strong, your support is even stronger.
